A rental booking says what the customer has reserved. The inventory record describes the physical item. Keeping the two connected helps the team avoid searching several lists when equipment leaves or returns to the station.
Identify the item and its price rule
Use a clear inventory identifier for equipment that is booked individually. Several items can share a rental price category while remaining distinct physical assets. This lets the school maintain hourly, daily, multi-day or package prices without giving every identical board a separate pricing policy.
Test the customer's selected duration against the intended price. Also check whether the right item is available for the booked period and suitable for the guest; staff remain responsible for that operational decision.
Record handover and return
Use the rental board to find active and upcoming rentals. At the appropriate handover and return steps, staff can capture photo evidence and update the record. The photos should show the relevant item and condition clearly enough to support a later conversation.
Do not describe this as automatic damage detection. Rental security deposits, extensions and overdue automation are not part of the currently described flow. A checkout part-payment is a different concept from a refundable equipment deposit.
Read the history with its limits
Inventory Intelligence is available for recorded usage, hours, condition and location. It reflects the records the school keeps; it is not GPS telemetry or an automatic physical inspection. Missing reports can make an item look underused.
A group assignment identifies equipment allocated to a session. It does not prove which individual used each item. Make an explicit link when the school needs that detail.
Use the history to prepare maintenance, relocation or resale decisions, then have staff confirm the action. The rental workflow and equipment insights explain these two views in more detail.
