At a busy station, the key question is often simple: which item is this, who has it and what needs to happen next? A consistent handover routine helps staff answer without searching through chat messages.
Before equipment leaves
Find the rental in the operational overview and verify the actual item against its identifier. Check the customer and booking, the planned period and the recorded payment state. Staff must still assess suitability and whether the equipment is ready to use.
Shared rental price categories help maintain prices across similar items. They do not remove the need to identify the physical equipment being handed over.
Capture evidence at the right moment
After assigning equipment, optionally upload a file, take a photo or record a video. Capture the relevant item clearly and review the result. Condition evidence is useful when it belongs to the correct rental and shows the details that may matter at return.
At return, check the equipment physically and record the outcome. A photo does not automatically detect damage or determine responsibility. Use the school's agreed process for questions or disagreements.
Check return and payment separately
The booking shows actual issue and return times, duration, recorded condition and storage location for each item. Missing entries remain visible. A completed rental may still have an outstanding balance, so check the payment summary as well as the Done status.
Keep unsupported steps out of the promise
The available workflow includes the rental board, specific-item context and photo evidence. Rental security deposits, extensions and overdue automation are not part of this described scope. If the rental period needs changing, confirm the supported handling with the team instead of promising automatic extension or charging.
A part-payment selected during checkout is not a refundable equipment deposit. Keep those terms distinct in guest instructions.
Read rentals and equipment for the overall workflow and the rental evidence update for the changed prompt timing.
