Software selection becomes easier when you start with the working day. List the decisions your team makes and the information it needs, then ask providers to demonstrate them with your own example data.
Write down the non-negotiable workflows
A course-heavy school may prioritize grouping, languages and instructor planning. A rental station may need specific-item bookings, handover photos and returns. A camp selling overnight stays must also check where room availability is managed. These are different requirements, even if all three businesses sell online.
Separate essentials from useful extras. Record the person responsible for each step and the system currently holding the authoritative information. That exposes gaps more clearly than a long list of product names.
Test three moments
- Before arrival: book the right offer on a phone, check the price and collect the information staff need.
- During delivery: move a session, replace an instructor or allocate a different board. Check who can see and edit the change.
- After delivery: record attendance and work performed, review the invoice and prepare instructor compensation from the actual records.
For TIDEFORCE, the team uses the Whiteboard and connected records for these steps. Planning and safety decisions remain with staff. Accommodation offered as a booking item does not imply a hotel property-management system or automatic OTA synchronization.
Judge the records, not only the screen
Ask to trace one record from booking to report. A total is only useful if you can understand its dates, filters and included activity. Inventory Intelligence and Customer 360 are available; their completeness depends on recorded use, source coverage, permissions and, where relevant, consent.
Agree on the first usable release
Choose a manageable first offer, confirm import scope and test roles, payments and communication before switching. Keep a named owner for unresolved exceptions. No fixed launch time can be inferred from a polished demonstration.
The buyer checklist turns these questions into a demo agenda. The setup guide explains what to prepare for TIDEFORCE.
