Automated invoice runs handle recurring cases. For a custom invoice, a particular recipient or an individual adjustment, the front desk uses Invoice Studio. This short routine covers the manual review path.
Open the correct starting record
Find the booking or payment and verify the customer. For a group booking, the payer, participant and invoice recipient may be different people. Resolve the recipient before preparing the document rather than copying the first name you see.
Open the draft from a booking, payment, shop sale or Inventory Direct Sale. Statements for team payouts and other expenses retain their connection to the payment. You can also create a custom invoice directly in Invoice Studio without an existing sales record.
Review the draft
Check product lines, quantities, prices and the configured tax treatment. Compare recorded payments with the billed amount, especially when a deposit or later extra is involved. A payment reference and an invoice number describe different records.
In the manual workflow, the responsible person confirms the reviewed draft before issue. For recurring cases, configure automatic invoice creation after payment or scheduled consolidated billing for selected booking intermediaries.
Handle exceptions explicitly
If the booking changed, inspect the relevant financial records rather than assuming they all changed with it. Follow the school's agreed process for refunds or corrections to issued documents. Route questions about tax configuration to the person responsible for accounting.
At the end of the shift, leave unresolved cases with an owner and enough context for the next person. The aim is an understandable record, not a stack of documents whose payment status must be reconstructed later.
For the wider distinction between the order, payment and document, read booking, payments and invoices. The product page explains the supported workflow.
