Reduce duplicate work between bookings, spreadsheets and team messages

Choose an authoritative record for each workflow before removing the tools around it.

A spreadsheet and a team chat can be useful. Problems begin when they hold different answers to the same question: which instructor is teaching, whether a guest has paid or which board is reserved.

Find the repeated handover

Follow one booking and mark every place someone retypes information. A common chain is booking → planning sheet → instructor message → equipment list → invoice. Also record what happens when the booking changes; the correction often takes more work than the original entry.

Choose the handover that causes the most uncertainty. Moving that workflow first is usually easier to assess than declaring that every existing tool must disappear at once.

Make one record authoritative

For daily planning in TIDEFORCE, use the connected booking and Whiteboard record as the agreed plan. Assign responsibility for group changes, instructor allocation and equipment updates. A chat message can alert the team, but the final change needs to be reflected in the record people rely on.

Give staff the permissions they need and test their actual view. A shared platform does not mean everyone should see all customer and financial data.

Pilot a small working day

Start with a defined group of offers or one station. Run a booking change, an instructor substitution and a rental return through the agreed process. Check whether another staff member can understand the outcome without asking the original author.

Continue using specialist accounting or payroll tools where they remain necessary. TIDEFORCE's invoice workflow and compensation preparation do not replace every statutory accounting task or wage-processing function.

Measure the change you made

Count repeated entries, unresolved exceptions and the time spent clarifying a plan before and after the pilot. These are your own operational measures, not a promised percentage saving. Review them with the staff who perform the work.

Use the workflow comparison to map responsibilities and setup and import to define the next migration step.
