Two bookings at 10:00 may require very different plans. One is a private refresher course; the other is a family with beginners. The calendar entry alone does not tell your team which instructor, group or equipment will work.
Record experience, language and equipment needs
Ask for the participant information your school actually needs: language, experience and relevant sizing details, for example. Distinguish the person paying from the people attending. Collect information for a defined purpose and give staff access according to their role.
The next step is a decision. The team uses these details to form groups and assign suitable instructors. A recorded level helps planning, but it is not a substitute for an instructor's assessment on site.
Check for conflicting instructor and equipment assignments
An instructor, a board or a shuttle may be needed by several offers. Check the real dependencies rather than treating each product's availability as an isolated number. Build a plan that your staff can review when bookings change.
TIDEFORCE connects bookings with the Whiteboard and equipment records. Staff remain responsible for weather decisions, safe group sizes and whether equipment is fit for use. The presence of weather information does not automatically reschedule a lesson.
Record attendance, teaching and equipment changes
Record who attended, what was taught and any equipment changes. This makes later customer questions, instructor compensation preparation and invoice review easier to resolve from records rather than memory.
A complete booking record should distinguish what was sold from what actually happened. That distinction matters after a shortened or moved session, and it prevents an attractive checkout from hiding unfinished work.
Test one group and an equipment change in the software
Ask your current or prospective provider to demonstrate a mixed-level group and a last-minute equipment change. Note what remains manual and whether the team can maintain the records during a busy day. The TIDEFORCE planning page shows the relevant workflow; the comparison checklist helps test it consistently.
