TIDEFORCE Email Studio: set up and check booking emails

Start by choosing the email you want to edit in TIDEFORCE Email Studio.

Most courses start at your school. One advanced course meets on the beach, and rental guests need to bring ID. Start with the instructions most guests need, then add exceptions for offers where guests need to go somewhere different or bring something extra.

Choose the right booking email

Open Email Studio through global search in TIDEFORCE. Start with the booking confirmation and the upcoming booking email. Review the default template first and edit the parts where your guests need extra information.

For sending rules and more templates, see which emails TIDEFORCE sends and when.

What are the subject, preheader, eyebrow and headline?

The subject appears in the inbox. The preheader is the short preview shown next to or below it in many email apps. The eyebrow is the small line above the large headline inside the email. An arrival email could use “Your Saturday lesson” as the subject, “Before you arrive” as the eyebrow and “How to find your meeting point” as the headline.

Use the variable picker for details such as the guest’s name or the amount paid. TIDEFORCE inserts the booking value when it builds the email. Preview a few bookings to check the value is available and the sentence still makes sense. Use variables for dates, amounts and currencies that change from one booking to another.

Write shared arrival instructions and add exceptions

  1. Default Information. Add shared information such as the address, who to contact if guests are late and how to prepare. Check that the arrival time agrees with the booking confirmation. Say what the school provides and what guests should bring.
  2. Exceptions for a product type or individual offer. Add a note if all rental guests need ID. Replace the default note if one course meets somewhere else. Preview a booking that contains both a lesson and a rental to check that the two sets of instructions make sense together.
  3. Formatting and languages. In the editable Default Information section, use short paragraphs and highlight key details such as the meeting point in bold. Check the formatting in the preview. If you start from English, use the translation option for supported fields. Check custom instructions, exceptions and links in each language your guests receive.

What do guests see about payment and check-in?

The Upcoming Booking template shows a payment notice when money is due. It shows a payment link when one is available for the booking. When a booking has a check-in link, the email can show it and the QR code if one is available. This applies whether or not there is a balance due. Preview a booking with a balance due and one that is paid in full.

The guest app is optional. To help guests find their booking on their phone, point them to the booking or check-in link. Use a test booking to see where guests find the option to save the app on their device.

Preview a course, a rental and optional extras

  1. Preview a standard course. Check the name, date, time and meeting point, then read the email on a phone.
  2. Try a course with a different meeting point or a guided activity, then a rental. Include a sample extra to see how it appears. The live email lists the extras from the actual booking.
  3. Switch languages and compare an outstanding balance, full payment and check-in. Check the logo, contact details and links. If you add a Google review link under Social Links in the organisation settings, open it from the relevant email preview.
  4. Publish the template once the scenarios look right. In the email settings, check whether automatic sending is enabled and how many days before arrival the reminder is scheduled. Presets include 3, 7 and 14 days.

Which settings belong in Automations?

Email Studio controls the content. Automations control when a payment reminder applies, which products it covers and how long the payment link is valid. If a rule can cancel a booking after the deadline, check that setting separately. In the booking settings, check which pending bookings reserve capacity.

Treat an unfinished booking draft and a confirmed booking as different cases. Check which drafts expire in Automations. Automatic check-in changes a booking status. If your team needs to know who is physically present, check attendance separately.

For the next review, use the arrival information checklist and the online check-in guide.

Frequently asked questions
01

Does saving a template send an email?

+

Use the preview to check the email. Publishing makes the template available for use. The booking event and email or automation settings determine when an automatic email goes out.

02

How do I change the meeting point for one course?

+

Create an exception for that offer in the customer information section. Preview the offer to check that its meeting point appears and the shared meeting point is hidden if you replaced it.

03

Why is there no payment link or QR code?

+

Check the booking scenario. A payment link must be available for that booking. Online check-in and its QR code depend on separate booking details.
