One booking reference can cover several services. A guest might book a course, hire equipment, add a coaching session or reserve gear storage. Each separately booked service has its own status. The status at the top of the booking describes the bundle as a whole.
Book a course and request accommodation
A guest books a course and requests accommodation in the same cart. If the location offers accommodation on request, it appears as a separate item under the same booking reference. The course can already show Confirmed. The accommodation shows Requested, and its price becomes payable after approval.
Approve the accommodation and send a payment link
Once you know a room is available, open the accommodation in Products & Extras and select Pending. Choose Online Payment in the dialog to request the full amount due. If deposits are configured, you can choose Online Deposit instead. Check the amount and choose whether TIDEFORCE should email the payment link immediately.
If the booking contains other requested or draft items, approval with payment can also include those items. Review them before confirming.
Check the payment and booking status
For standard bookings such as equipment hire, TIDEFORCE automatically changes the relevant pending item to Confirmed after a successful online payment. If the guest paid a deposit, you can still see the remaining balance under Payments.
For separately booked accommodation on request, also check the accommodation status after payment. The item can show Requested again after the online payment. If it does, open Products & Extras and set that item to Confirmed.
Confirm directly and collect payment on site
You can also move an item directly from Requested or Pending to Confirmed. If the guest will pay on site, confirm the item without a payment request and record the amount under Payments once you receive it. You can also record money you have already received, such as a bank transfer. If the payment is already recorded there, just change the booking status. When confirming a requested item at the point of payment, you can also record the cash you have received by choosing Cash Payment in the confirmation dialog.
Change the status of the whole booking
Changing the status at the top of the booking applies to the bundle by default. Select Also apply to all products in this bundle to include its items. When you change an individual item instead, you can choose Also set the bundle to this status to apply the same status to the bundle. TIDEFORCE may recalculate the bundle status from its items the next time an item’s status changes.
If a guest cancels only the equipment hire, change the status on that item. The partial cancellation initially preserves the bundle’s previous status. Under Products & Extras, you can see the cancelled hire alongside the course that is still booked.
