A surf school does not sell a product on a shelf. You sell sessions that depend on the tide, the swell and the wind, taught by instructors with limited ratios, on boards and wetsuits that are constantly in and out of the racks. Add surf camps, accommodation, holiday peaks, walk-ins and guests who speak four different languages, and a generic booking tool stops being enough.

TIDEFORCE is the Commerce & Operations Platform for Outdoor Sports Schools. It connects what a customer books online with what actually has to happen on the beach that morning — so the booking, the rental gear, the group, the instructor and the invoice are all the same connected data, not five disconnected tools.

What running a surf school actually takes

Sessions move with the tide and swell — you reshuffle times, groups and instructors and need everyone to see the change at once.Beginner courses fill up, and each one needs the right instructor ratio, the right boards and the right wetsuit sizes pulled from the racks. You sell more than lessons: multi-day surf camps, accommodation, rentals, tours and add-ons that all land in different systems.Summer and school holidays bring peaks; the rest of the year is quieter — your pricing and capacity have to follow the season.

How TIDEFORCE runs it

Guests book a course, a multi-day camp, accommodation, camping, a board or wetsuit rental, a tour, a shuttle, lockers and add-ons in a single cart — a real 12-type checkout, not separate forms stitched together. A beginner can book a week of lessons, their room and a wetsuit in one transaction, and it all arrives in your system as one connected booking.

You can show your offer with a Live Preview (draft → preview → publish) and embed your schedule on your own site with the embeddable schedule widget, so guests see real availability before they commit.

The real-time whiteboard and timetable is where the surf day comes together. When the tide shifts the line-up, you drag sessions, regroup students and reallocate instructors, and everyone working sees the same board update. Wind and conditions are entered by your team — you stay in control of the call, the software just keeps the plan straight.

You group students by language, level, age and skill with manual drag-and-drop, assign the right instructor to each group, attach the material they'll use, and check people in when they arrive on the beach.

Your shop and rental gear are linked to inventory, so boards and wetsuits that go out on a booking are tied to real items. You can also sell used or demo school gear straight from the same catalogue. Material intelligence — usage hours, condition and location for each board and suit — is available in Beta, so you can start seeing which gear is worn out and which is sitting idle.

Set high, mid and low season prices by date range, per activity and per location, and use Pricing Modes (shared price tables) so a change ripples across everything it should. Capacity is set per slot, per activity, per day and per season, so holiday peaks fill to the right limit and your instructor ratios hold.

Your team can place and manage bookings at the desk for the guest standing in front of them. If you work with providers or partners — an accommodation host, a transfer service, a second school — they get their own role, their own account and an access level to place and manage their own bookings, with B2B provider invoicing built in. If you run more than one beach or base, you get operational visibility across all of them.

Create invoices directly from a booking or a payment, with connected data and multi-rate VAT; you confirm each invoice before it goes out. Instructors file session reports, and payroll bookkeeping rolls sessions into periods and payouts so end-of-season hours are clear. A built-in Guidebook lets you share curated local tips, activities, day-plans and recommendations for your spot — the kind of advice guests usually have to ask for at the desk.

What's live vs. what's coming. Live today: one 12-type checkout, day planning and grouping, rental linked to inventory, seasonal pricing, invoicing, payroll bookkeeping, the Guidebook and the schedule widget. Labelled Beta: material intelligence (usage hours, condition, location). (experimental): AI-assisted setup and a storefront booking assistant. (rolling out): guest-first booking with no mandatory login, email-first passwordless access with a secure booking link, and a QR ticket with one-tap check-in. Student reviews, automatic instructor matching and weather-station integrations are on the roadmap, not in the product today.
